Sauvage Space – Host Guidelines
Event Bookings & On-Site Stewardship · Internal reference for approved hosts
1. Purpose
This document exists to support hosts in delivering well-run, legally compliant, and context-aware events at Sauvage Space. The goal is to balance hospitality, neighbourhood respect, and creative expression while protecting the space, its residents, and its long-term viability.
2. Booking Workflow
- Event confirmation must exist in the shared calendar and be backed by an invoice.
- Deposit and written acceptance of the Sauvage Space Terms of Use must be received before access is granted.
- Arrival, setup, event start, cleanup, and lockup times must be explicitly agreed in advance.
- One named Host is responsible for the event and must be reachable by phone at all times.
2a. Payment Policy
- Standard bookings: A non-refundable deposit is required to confirm the reservation. The remaining balance is due no later than 48 hours before the event.
- Late bookings (within 7 days of the event): If the event date is 7 days or fewer from the booking date, the full event total is due at the time of booking. No deposit-only option is available for late bookings.
- All payments are processed securely via Stripe. Accepted methods: credit/debit card and iDEAL.
- Deposits are non-refundable. In the event of cancellation, the deposit is forfeited.
3. Space Use
Hosts must clearly understand which zones are included in the booking (Entrance / Kitchen / Tasting Room / Upstairs). Maximum capacity, permitted activities, and alcohol service limitations (Meng-formula) must be respected at all times. Any use beyond the agreed zones or functions requires prior approval.
4. Preparation & Setup
- Early access is only permitted if agreed in writing.
- Use of resident equipment (including Frogs BV kitchen infrastructure) is not permitted without explicit approval.
- Tableware, glassware, and furniture layouts must be agreed in advance and restored after the event.
5. During the Event
- Sound levels must remain respectful of neighbours; quiet hours begin at 23:00 on weekdays and 00:00 on weekends.
- Guest count must not exceed agreed limits (approx. 25 seated / 30 standing unless otherwise approved).
- Sauvage does not hold a public alcohol licence. Alcohol may only be served to attendees of a private event — it cannot be sold or served to the general public. Events must remain private (not open to general foot traffic) for alcohol service to apply.
- Fire exits must remain unobstructed at all times; no smoking is permitted indoors.
6. Cleaning & Closing
- The space must be returned to its original condition: trash removed, dishwasher run, surfaces cleaned, lights off.
- Hosts are responsible for final lockup, alarm setting, and door checks.
- Deposit deductions may apply for excessive cleaning, damage, pest risk (€100 minimum), or overtime use.
7. Communication & Emergencies
- Hosts must have current contact details for Selection Sauvage BV and resident operators where relevant.
- Any incident, damage, or neighbour complaint must be reported promptly.
- In case of safety concerns, prioritise guests' wellbeing and secure the space.
8. Hosting Style
Sauvage events favour a considered, calm atmosphere: attentive hosting, thoughtful pacing, and respect for the space. The role of the Host is closer to stewardship than event production.
Appendix A — Closing Checklist
To be completed by the Host before leaving the premises
Space
- All guests have exited the building
- Furniture returned to agreed layout
- Floors reasonably clean; spills addressed
- Fire exits clear and unobstructed
Kitchen (if used)
- Dishwasher run (or running)
- All surfaces wiped and sanitized
- Stoves / ovens off
- Refrigerator and freezer doors fully closed
Waste
- All trash removed from interior bins
- Glass disposed of correctly
- No food or perishables left overnight
Tech & Utilities
- Music and AV equipment powered down
- Lights turned off
- Windows closed
Security & Lockup
- Doors locked
- Alarm set (if applicable)
- Keys returned or secured as agreed
Final Check
- No damage or issues to report
- Any incidents documented and communicated
